Hours:  Flexible Schedule, 2 to 3 days per week, with fulltime & long term potential

Office Location:  Napa and  Sonoma County, within SF Bay Area, CA

Top producing real estate agent is seeking a licensed, experienced Real Estate Assistant. This is an extremely high volume office and the ideal candidate must have the skill and experience to organize and manage multiple projects at one time.

  Essential Job Functions:
The successful candidate will be able to demonstrate core competencies in the following areas:
• Provide administrative support for The 707 R.E. Team. and direct  Administrative support for Keri Akemi-Bezayiff, Realtor.  
• Assist a Top Producer & Office Manager with the day to day operations of the real estate sales team
• Liaison between the agent, team and clients
• Coordinate ALL transactions from conception to close
• Coordinate duties and responsibilities of the team
• Assist in scheduling, training and support for the agent and team
• Manage agent’s calendar
• Attend and manage showings, Brokers Opens and inspections
• Oversee all listing files
• Design, prepare and implement all aspects of marketing, including working with the social media team
• Essential duties include, but are not limited to, phones, mail, supplies, correspondence, filing, copying and faxing
• Establish and maintain strong and positive relationships with all property clients, vendors, and contractors.
• Establish and maintain transaction ,management, escrow timeline and project management in our online property portal , CRM, and other proprietary methods.  Will also be required to maintain vendor files (including but not limited to contact lists, inventory lists, correspondence, etc.).
• May assist with monitoring aged receivables and collection efforts on a monthly basis
• Assist Real Estate agent in preparation of various reports including, but not limited to,  presentations by assembling quotations, proposals, videos, slide shows, demonstration and product capability booklets; compiling account and competitor analyses. monthly and quarterly reports.
• Assist in maintaining service contracts, tracking expirations and prepare bid packages when necessary.
• Assist with coding invoices for payment and processing
• Receive and log work order calls, create and dispatch work orders, or facilitate and maintain project order system . 
• Track vendor and tenant certificate of insurance expiration dates, request renewals, ensure compliance with standard coverage terms and conditions. 

Other Required Skills
The successful candidate will possess the following required degrees, certificates or competencies:

• High School Diploma or GED required, AA degree preferred..
• 2 years Real Estate as licensed agent with industry experience  and Administrative Experience preferred.
• General Business Administration, Analyzing Information, Organization, Statistical Analysis.
• General Math Skills, Data Entry Skills, Financial Skills.
• General Marketing Skills.  Prepares mailers and brochures by formatting content and graphics; arranging print materials, internet and social media marketing support.  Maintains marketing Stock image library according to Copyright guidelines. 
• Required to be fluent in both English and Spanish, with written correspondence and in conversation, and  ability to translate. 
• Independent, self-starter, team player, attention to detail.
• Ability to work well under pressure with strong personalities.
• Proficient in Microsoft Office Suite required.
• Familiarity with real estate software .preferred. 
• Familiar with contract and Real Estate Disclosures, Listing and Purchase agreements preferred.
• Provides high degree of professional customer service to both internal and external parties.
• Excellent communications and organization, follow-through and follow-up, meet commitments and deadlines.
•  Willing to work weekends
• Must have reliable form of transportation,  valid driver's license and current insurance
